When your vendors are missing deadlines, producing sub-par work or not communicating well, the finger-pointing tends to go horizontal, with each vendor claiming the others did not live up to their promises.<\/p>\n\n\n\n<p>This is neither productive nor helpful since everyone has the same goal of creating a superior product. This is especially important in manufacturing, where your reputation is staked on your latest finished product.<\/p>\n\n\n\n<p>Whether you\u2019re building houses, fabricating machine parts or producing textiles, vendors are your lifeblood &#8212; how do you ensure that everyone gets along?<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Choose the right vendors and focus on relationships<\/h3>\n\n\n\n<p>This is an easy first step that mitigates potential relationship issues down the road.&nbsp;<a href=\"https:\/\/www.forbes.com\/sites\/forbeshumanresourcescouncil\/2018\/04\/25\/the-four-cs-companies-consider-when-choosing-a-vendor\/#7a57d0885df0\" target=\"_blank\" rel=\"noopener\">Don\u2019t ever include feuding vendors<\/a> in the mix. Even if this means forgoing your top picks, it&#8217;s worth it in the long run since you\u2019ll have a smoother workflow.<\/p>\n\n\n\n<p>Once you assemble a good team, make sure to establish a strong working relationship with each vendor individually. You&#8217;ll have more relationship capital going into the project. Assemble all team members for a face-to-face planning\/project kickoff meeting so all vendors hear the objectives \u201cfrom the horse\u2019s mouth\u201d.&nbsp; To eliminate confusion document the results as well.<\/p>\n\n\n\n<p>As the general project manager, you\u2019ll handle all decisions. Make this meeting\u2019s attendance mandatory to get the job, and be ready to compensate them for their time. It will pay off in the end, as you\u2019ll get kinks worked out early and ensure that everyone\u2019s personalities mesh. You can discuss:&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Project objectives<\/li>\n\n\n\n<li>Scope of work, including clear definition of everyone\u2019s roles and responsibilities (see next point)<\/li>\n\n\n\n<li>Important milestones and deadlines<\/li>\n\n\n\n<li>Foreseeable challenges<\/li>\n\n\n\n<li>How similar problems were handled in the past<\/li>\n\n\n\n<li>Proper communication channels moving forward<\/li>\n\n\n\n<li>Measurements of success<\/li>\n<\/ul>\n\n\n\n<p>With this meeting, you\u2019ll proactively handle potential problems and give vendors the permission to work things out without your acting as the go-between.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/ironmarkusa.com\/wp-content\/uploads\/2024\/10\/Vendor-Blame-Ironmark.png\" alt=\"Vendor Blame - Ironmark\"\/><\/figure>\n\n\n\n<p><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Clearly define everyone\u2019s roles<\/h3>\n\n\n\n<p>Both internal and external stakeholders need know their roles. It\u2019s difficult to fulfill jobs when your vendors are unsure of their exact responsibilities; the blame game starts when no one has accountability. By clearly setting expectations and objectives upfront you ensure all vendors are on the same page and take ownership of their respective parts.<\/p>\n\n\n\n<p>If you also take the time to anticipate potential pitfalls, you can head them off now. Do some &#8216;if\/then&#8217; scenarios to combat any issues that might arise.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Hold an annual meeting<\/h3>\n\n\n\n<p>Adding your vendors to an annual meeting is a natural fit when you\u2019re reviewing budgets or planning for the upcoming year. Again, getting them face-to-face is critical! In-person interaction helps build trust and cooperation, while eliminating communication disconnects and confusion.<\/p>\n\n\n\n<p>As you talk through your company\u2019s overall objectives and mission, you\u2019re bringing vendors on board as a team. At your annual meeting, you can review each vendor\u2019s role, recap how the relationships have been working and brainstorm ideas on how to enhance them in the coming year.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Engage a third party<\/h3>\n\n\n\n<p>During the course of the project you can handily manage vendor issues. But, if these continue to occur or escalate, it might be time to bring in a third party. A consultant helps dismantle tensions by keeping things fair.
